Essential identity document

The active passport is the controlling document. Capture the entire data page with all edges visible, sharp text, no fingers, flash glare or cropped machine-readable lines. Do not use a residence card or an expired passport as a substitute. Dual nationals should decide which passport they will present for travel before starting.

Personal photo

When a separate photo is requested, upload a recent front-facing image of the applicant rather than a crop copied from the passport. Use even lighting and a plain background; keep the face unobstructed. Reopen the selected file because family applications often fail when one person’s image is accidentally reused.

Trip information

Prepare the date the itinerary actually reaches Sri Lanka, the planned departure, the first accommodation and a reachable phone and email. Overnight connections can make the local arrival date different from the departure date shown on the first ticket. Business travellers should retain invitation, host, meeting or event evidence appropriate to the declared activity.

Border evidence

Official terms state that air travellers should be able to show a round-trip or onward ticket and sufficient funds. These items may not appear as upload fields in every workflow, but they should still be available for carrier or border checks.

Document review checklist

1. Open the passport image at full size and read the number and expiry date.
2. Confirm the photo belongs to the correct traveller.
3. Match spelling, name order and nationality to the passport.
4. Check dates against the complete itinerary.
5. Keep copies of the acknowledgement, reference and final result.
